Billing and payments

Pool service billing software that gets you paid without chasing

The work is done at the pool; the money should take care of itself. Completed visits become invoices, flat-rate pools bill on schedule, autopay settles the regulars, reminders chase the stragglers, and every payment lands in your own account.

From completed stop to settled invoice

Billing that matches how pool service is actually sold

Per-visit pricing, monthly flat rates, chemicals included or billed with markup: pool billing has its own shapes, and PoolBeacon models them directly instead of making you fake it with a generic invoice tool.

Completed visits invoice themselves

Mark a per-visit-priced stop complete and the invoice creates itself. Forgot to set a rate first? The visit shows as completed-but-not-invoiced instead of slipping away, and one action bills it retroactively. Work you did stops going unbilled by accident.

Monthly flat billing on your cadence

Pools on a flat monthly rate bill once per period on the interval you choose, billed in advance by default or in arrears if that is how you run. The amount is fixed regardless of visit count, which is how most recurring pool service is actually sold.

Autopay with a real authorization

Recurring customers can go on autopay backed by a signed authorization agreement, so the card on file is something the customer agreed to in writing, not a surprise. Invoices settle themselves and the ones that cannot are surfaced instead of silently failing.

Your account, your rate

Customer payments run on Stripe Connect Direct Charges straight into your own connected Stripe account, by card or ACH through your branded portal. You keep the full payment minus only your card processor’s standard rate; PoolBeacon adds no platform fee on top.

Billing questions, answered

Does PoolBeacon take a cut of my customer payments?
No. Payments go to your own connected Stripe account on Stripe Connect Direct Charges with a $0 platform fee from PoolBeacon. You keep the full payment minus only your card processor’s standard rate.
What happens when an invoice goes unpaid?
Overdue invoices get polite reminder emails automatically at 3, 7, 14, and 30 days past due, until the customer pays or you mark it handled. You can also add a late fee: it is off by default, uses the amount and grace period you set, and the fee terms can be written into the signed service agreement.
Can I bill chemicals on top of the service rate?
Yes, per pool: chemicals can be included in the flat rate, or billed at cost with a markup you choose. Either way the visit record shows what was added, so the invoice matches the work.
Who on my team can send invoices?
Money actions are owner and admin territory by default: creating, sending, and marking invoices paid stay with you unless you deliberately open a permission to techs. Delegating the route does not have to mean delegating the books.
