One action converts an accepted estimate into an invoice with the same line items and the deposit applied. The quote you won is the bill you send, which means no transcription errors between the two.

What a PoolBeacon signature actually captures
An e-signature is only as good as the record behind it. PoolBeacon follows the elements the federal ESIGN Act and UETA describe for a valid electronic signature:
- The signer consents to signing electronically and types or draws their signature, so intent and attribution are captured, not assumed.
- The exact text on screen is fingerprinted at signing time. If the document text and the signature fingerprint do not match, the signature is refused, so the record shows precisely what was agreed to.
- Every signature is stored with who signed, what they saw, and when, and stays attached to the customer record for as long as you keep the account.

Estimate and signature questions, answered
- Are the electronic signatures legally valid?
- PoolBeacon captures signatures the way the federal ESIGN Act and UETA describe a valid electronic signature: the signer consents to signing electronically, the signature is attributable to them, and a record of the exact text they signed is retained. Under those laws an electronic signature has the same legal effect as ink. - Do I need a DocuSign subscription?
- No. Signing is built in, on every plan: in person on your phone, from the customer portal, or by uploading a signed paper copy. There is no per-envelope charge and no separate e-sign service to pay for.
- Can a customer sign at the door with no signal?
- Yes. In-person signing works offline like the rest of the field app: the signature is captured on the device and syncs when the phone has signal again.
- What happens to the deposit when the job changes?
- The deposit lives on the estimate and is credited to the invoice the estimate converts into. If you edit the invoice before sending it, the credit stays applied, and every money amount is visible on both documents.
