Seasonal pause

Close for the winter without cancelling

Seasonal routes should not have to choose between paying for months of nothing and deleting the customer list. Pause your subscription for the off-season, pay nothing while you are closed, keep every record exactly where it is, and press Resume when the pools open again.

What stops, what stays

Everything that costs you stops. Everything you built stays.

A pause is a hold on the subscription, not a reset of the business. The money and the outbound email stop on the day you choose; the customer list, the pools and the history sit untouched until you are back.

Pause, do not cancel

Closing for the season happens in Settings: pick the day you want to be back, up to six months out, and your subscription goes on hold with no fee and no penalty. You are not charged while paused, and you stay month-to-month on the way back.

Nothing goes out to your customers

While paused, PoolBeacon sends nothing on your behalf: no plan invoices, no autopay charges, no visit reminders, no review requests, no overdue nudges, no broadcasts. Your customers hear from you when you are open, not from software while you are closed.

Your customer list stays exactly as it was

Customers, pools, equipment, visit history, photos, chemistry logs, invoices and agreements are kept in place, not archived and not deleted. Download a full backup from the paused-account page any time if you want a copy on your own drive.

Come back early, or move the date

Change your mind in February? Sign in and press Resume. Need longer? Change the resume date. Either way, the next billing date on every flat-plan pool moves forward when you resume, so no customer is billed for the months you were closed.

Your free trial waits for you

Pause during the free trial and the trial pauses too. The days you had left are exactly the days you get back when you resume, so a September signup who closes in November is not charged in December.

The customer portal closes politely

Your branded portal shows a simple "not taking new service requests right now" notice, the request form is off, and the public quote form says the same. Customers can still open and pay the invoices they already have.

Three steps

How a season off works

  1. 1

    Pause from Settings

The account owner opens Settings, then Billing, presses Pause subscription, and picks the day to be back. A confirmation email spells out the date, the price when you return, and what stops in between.

  2. 2

    Close the doors

Billing, reminders and every other automatic email stop. The portal shows customers a closed notice and keeps their existing invoices payable. For any pause longer than a week, you get a heads-up seven days before your date that the subscription is about to resume.

  3. 3

    Resume when the pools open

On your date, or earlier if you press Resume, the subscription restarts, flat-plan billing dates roll forward past the pause, visits generate from the day you are back, and your team signs in to the same customer list they left.

Seasonal pause questions, answered

Does pausing cost anything?
No. There is no pause fee and no cancellation fee, and you are not charged for PoolBeacon while paused. When you resume, billing picks up on your regular date at your plan price, starting at $19.99/mo.
What happens to my customers and their records?
They stay put. Every customer, pool, visit, photo, chemistry log, invoice and signed agreement is kept in place. Nothing is archived and nothing is deleted, and you can download a complete backup from the paused-account page whenever you like.
Will my customers get billed while I am closed?
No. Automatic plan invoices, autopay charges, reminders, review requests, overdue nudges and broadcasts all stop the moment you pause. When you resume, flat-plan billing dates move forward past the pause, so nobody is charged for the months you were away.
Can I come back before the date I picked?
Yes. Sign in as the account owner, and the paused-account page has a Resume button. You can also change the resume date from the same page. The longest a single pause can run is six months from the day it starts.
Who can pause the account?
The account owner, from Settings then Billing, on an active or trialing subscription. While paused, nobody on the account can sign in to the dashboard or the field app; the owner sees the paused-account page with Resume, the resume date, and the backup download.
What about the AI receptionist add-on?
It keeps answering through the period you already paid for, then turns off so you are not billed for it over the winter. Resume before that period ends and it simply carries on; if it ended while you were away, turn it back on from Settings after you resume.
