Crew, hours, and coverage

Pool technician management software for the days you are not in the truck

The first hire changes the job: suddenly there are hours to track, a schedule that breaks when someone is sick, and a customer list you are handing to a phone you do not own. PoolBeacon covers all three, with a field time clock, coverage alerts, and permissions you control.

Hours, coverage, permissions

Run the crew without building a back office

None of this requires new software for your techs to learn. The clock lives in the same field app they log visits in, availability is a calendar tap, and the permissions run quietly underneath it all.

A time clock that lives where techs work

Clock in and out from the field app, as many times a day as the day requires (lunch is just a clock-out). Punches work offline and sync later, daily and weekly totals add themselves up, and shifts that look wrong, like a forgotten clock-out, get flagged for review.

Payroll-ready hours, exported in a click

The owner timesheet shows every tech’s week; export it as CSV and hand it to whoever runs your payroll. Techs can fix their own forgotten punches if you allow it, and every add or edit lands in an audit trail: original value, new value, who, when. PoolBeacon records the hours; your payroll provider pays them.

Know your coverage before Tuesday does

Techs mark the days they cannot work, and the schedule warns you about the visits that just lost their tech, while there is still time to move them. It is a coverage tool, not a PTO system: no approval chains, no accrual math, just who is out and what needs a new pair of hands.

Permissions that match how you delegate

Owners and admins handle money by default: invoicing, billing, and rates stay theirs unless you deliberately open a switch. Techs get the day’s work without the books. You decide, per account, what a tech can edit.

Customer-list privacy

Techs get the route, not the rolodex

A tech needs the gate code, the dog’s name, and today’s work order. They do not need every customer’s phone number on their personal phone. With contact masking on, tech accounts see the service details and not the contact channels, and the rule is enforced in the database itself rather than politely hidden by the app.

It is a permissions and privacy control, the same way you would limit access to the books: it manages what accounts can see, and it pairs with the money gates above so delegating the route does not mean handing over the business.

Enforced below the app

Masking is applied where the data lives, so it holds everywhere a tech account touches the system, not just on the screens we remembered to blank out.

Crew questions, answered

Is the time clock a payroll system?
No, and it does not pretend to be. It records the hours your techs clock, totals them, and exports a clean CSV for your payroll provider. Running payroll, and wage-and-hour compliance, stay with you and your provider.
What keeps the hours honest?
Visibility. Every punch and every edit is recorded with who made it, what changed, and when, and shifts that look wrong (like a 16-hour day from a forgotten clock-out) are flagged. You review the timesheet with the full history in front of you. It is a records tool, not surveillance: there is no GPS tracking.
Can I stop techs from seeing customer phone numbers?
Yes. Turning on contact masking hides customer phone numbers and emails from tech accounts, and the rule is enforced in the database itself, not just hidden in the app screens. It is a privacy and permissions control for your customer list; like any permission, it manages access rather than guaranteeing behavior.
What happens when a tech is out sick?
Their unavailable days show on the schedule, and any visit assigned to them on those days is called out as uncovered so you can reassign it before the route leaves in the morning.

Ready before the first hire, useful long after

Time clock, availability, and permissions are on every plan, starting at $19.99/mo. Plans differ only by seats, so the crew grows without a feature upsell.
